Terms and Conditions

Bookings

  1. A non-refundable deposit is required to secure your date in the music act’s diary. We cannot hold any dates without a deposit.
  2. The deposit is required to be paid by bank transfer.
  3. In some circumstances we may offer the option to pay half the deposit to secure your date with the remainder of the deposit due within 30 days of the initial payment.
  4. Once the deposit has been paid, we will issue a contract including the details of your booking and the terms and conditions. Your contract is a legally binding document which you are required to read and confirm that you accept within 14 days of issuing the contract. If you have any queries regarding the contract, please get in touch within these 14 days and a member of our team will be happy to answer any questions.
  5. Payment of the final balance is due in cash on the day of the performance to the music act before they perform. Upon request we can accept payment by bank transfer but Imperium Entertainments are not obliged to accept this form of payment. Nevertheless, we will make every effort to accomodate our clients.
  6. Moving, postponing or rescheduling a performance date is classed as a cancellation and comes under cancellation terms as noted below. Rebooking the music act would be treated as a new booking.
  7. Once your deposit has been paid, we will issue your contract. we require you to read the contract to ensure all the information is correct and confirm that you accept the contract within 14 days of issuing the contract. Failure to confirm acceptance of the contract or respond to us regarding any queries you have does not constitute cancellation and your contract will remain in place. 
  8. Any amendments to your contract must be communicated to Imperium Entertainments in writing by email at least 30 days prior to the performance date. These amendments will be reviewed and we will confirm if the amendments have been accepted. Imperium Entertainments are not obliged to accept any amendments. 

Performance and Timings

  1. The music act will arrive at the venue at least one hour prior to the agreed performance time. The time required to load in equipment, set up and do a sound check will depend on the type and size of entertainment you have booked and this will be outlined in your contract. You must agree with your venue’s event organiser to allow access to the music act at the agreed time. If the music act is not granted access at the requested time then the music act will make every effort to start their performance at the agreed time however will not be held responsible for a later start time if they have not been granted access. They are neither obliged to play for longer than agreed nor miss any breaks if this were to occur.
  2. If you have booked any other performers then the music act will still require the aforementioned time to load in their equipment, set up and sound check. They will not be obliged to play for longer than agreed if other suppliers run on.
  3. The music act is entitled to a break and details of this break such as the duration will be outlined in your contract. Background music can be played during the break.
  4. A DJ set can be added on at the end of the performance for an extra fee.
  5. If the music act is doing a DJ set they can only play tracks that they have in their possession. Not having certain songs does not constitute any kind of refund and payment will still be due in full as outlined in your contract. If there are certain songs you wish to hear on the night then we recommend that you bring them on an iPod, phone or other device for band can play it through their system. Any device which has an AUX connection should be suitable. Please contact us about this prior to the performance date.
  6. The music act will make every effort to learn one specific song for the first dance. They will aim to learn the song to play live, however, they reserve the right to play the original track if for any reasonable reason they feel that they cannot play your chosen song to the highest standard. The first dance song must be communicated to Imperium Entertainments via email at least 14 days before the date of the performance. Any changes to your first dance song within 14 days in the run up to your wedding may result in the band not having the time to learn your song, resulting in the original track being played instead.
  7. Our musicians are happy to hear your requests and will make every effort to include your preferred songs on the day of the performance, however, it is not possible for them to learn entirely new repertoires for one specific event. 

Equipment and Sound

  1. The music act will bring a full PA system and the musical equipment required for their performance. Stage lighting will also be provided. Please note that the lighting is only for the stage area and not for the full venue or dance floor. The music act’s equipment is not for use by guests unless previously agreed, which is also at their discretion. 
  2. The client is responsible for providing a suitable performing area. Unless otherwise agreed, the client must provide an electrical supply meeting or exceeding British standards. For any outdoor events, suitable dry cover must be provided. If in the event that the staging area is waterlogged or in any way unsafe to perform, the music act will not be held accountable and will be within their rights to refuse to perform due to safety concerns or any other concerns relating to potential damage of their equipment. The full fee will still be due in this instance. 
  3. The music act will not be held responsible if the venue has a sound limiter and this hinders their sound check or performance in any way. Our musicians have experience in working with sound limiters with co-operation from the venue staff. In any case, full fee will still be due.
  4. Under no circumstance will the audience be allowed to touch any of the music act’s equipment or instruments unless agreed with the band prior to the performance date.

Use of Deputy Musicians

  1. In the unlikely event that a musician is unwell, injured or unable to attend for any other reason, it may be necessary to use alternative musicians (deputy). In this case we will commit to making every effort possible to supply a suitable replacement musician(s) and notify the client in advance when possible. We have this in place as security for the client and it allows us to guarantee that the band will not pull out due to the above reasons. Full payment would still be due if this were to occur.

Cancellation

  1. Moving, postponing or rescheduling a performance date is classed as a cancellation and comes under cancellation terms as noted below. Rebooking the music act would be treated as a new booking.
  2. If you wish to cancel your booking then you must put this in writing via email. 
  3. Cancellation charges must be paid within 7 days of the cancellation. 
  4. If cancellation charges are not paid within this time then we reseve the right to begin legal preceedings for breach of contract. 
  5. In the event of a cancellation by the client, the following will be charged:

90+ days before the performance date ‐ 0% of the remaining fee

60 to 90 days before the performance date – 50% of the remaining fee

30 to 60 days before the performance date – 75% of the remaining fee

Within 30 days of the performance date ‐ 100% of the remaining fee

Public Liability

  1. All our music acts are responsible for having their own public liability insurance and having valid PAT certificates for their equipment. Certificates can be produced upon request.
